| 1 | Matters arising from May 24th Minutes SR still has Thurlow Estate comp tickets - to be sent on with "thank you" SR asked how long VIP tent to be "manned" - "all day" Drage & Tozer have not got window display scheduled till week before festival but will give us four corners. Hanging display required by SVT TD No luck with o/b but DF to Email HJ's press release to radio stations Trish to cater for 70 bodies |
| 2 | Financial review (post meeting) Bank balance stands close to £7000 with the £2000 temporary overdraft spent but not yet repaid and PE app fee (£1300)and site fee £1250 not paid Full overdraft facility - not now needed ? anyway no response from bank to PC's application Ticket sales broadly in line with this time last year PC LEA grant from St Edmundsbury BC - no reply Ongoing budget indicates £500 loss if costs in line with prediction and ticket sales same as last year - pessimistically assuming no more sponsorship |
| 3 | Sponsorship ST has phoned Vindis Sales Manager and awaits "head office decision Nick has done Ipswich BS form - no response PC to resend the sponsorship list to SW and SR who have not acted upon their list yet. PC has marked up the list with letters already sent for SR Cannon Avent tickets paid by cheque for £2400. £200 received from David Burr, £250 from Ian Brown (IFA).optimistic for £1000 from RJP. SVT sent 14 more letters JT approaching AXA with sponsors pack - not optimistic PC received £200 from David Pryke and sent 12 more letters SR £1000 from Thurlow Estates and to follow up on Pauls list when received ST DF & HJ did presentation to Haverhill C of C and about 35 delegates. Some interest and one probable sponsor. SVT has written to four more of the delegates inc Genzyme's Simon Cousin. Plenty posters distributed |
| 4 | Ticket sales 31st May ticket sales about same as last year, about 500 inc Cannon Sue Ellen's Halstead box office still not set up! Come on boys!! An A board for that site is at ST's PC / HJ to action |
| 5 | Publicity Leaflet drop for Clare proposed completed by TD & JD Cavendish. to be done next Sunday SR approached shops in Haverhill with posters - mixed receptions DF taken 14 road boards to SASEX. DF will collect and erect them - needs no help all organised. Cannot be done legally until 28 days before event. NT agreed to pay any costs Report that Haverhill Arts centre has no tickets was because wrong tel no on poster. Stickers available to modify Howard HJ to email copy of press rel;ease to SR & JD for onward use. Focus and Festival Eye to be published in June. Howard PLEASE can we have the cover of Focus dedicated to the Festival TD to offer Paul Cooper to appear live on radio show or phone-in to speak of festival history etc. PC to liase with TD re radio info |
| 6 | AOB DF presented MW reportNO kids club or anything like it - everyone nervous of regulations - have to make do with Bouncy Castle & playground Skate board stall to pay £50 Okay to park two cars on site as exhibits MW needs £1300 cheque for St Edmondsbury BC PE license urgently from PC PL cover for £5mil needs to be in place by next Weds week's meeting on site (23rd June) JT suggested we write to Anglia TV Weather to request Festival mention on weather programme, All agreed - JT to write! Bar arrangements all going okay ST. Food requirements Trish ST via WM & DF to budget £500 for about 70 people; 48 band and backstage 15 security. Hospitality tent tba SR to lead hospitality team of SR, SS, Lee Juby, Julie Turley ST sent offer letter to RJP to Sheila for info on hospitality requirements.
