1 Nothing new to report on the finance side, still no invoice from Speedy, St Johns Ambulance has been paid, very large increase for Ambulance provision but SS said they are still the least expensive provider. Nethergate been paid for beer but still a query on the credit note for the wine returns.

Tickets would be priced @ £15, maximum capacity 200
Therefore potential revenue =
£3000 door, £400 bar, £100 food, £100 raffle :  Possible income £3600
Cost = Venue £150,  Bands & p/a £1500, Publicity £200, Tickets etc £100
Total cost say £2000
Potential profit £1600 plus any sponsorship income, but MUST sell out !!
 
3 SS had tried Jon Boddy Agency but been unable to book any bands of note within our budget. Said he would try for Works FM, Paul Cox etc but not optimistic SS would try for free back up, eg High White Honkies. Matter now urgent. Action SS

DF reported his suggested band were fully booked
It was decided to take away the emphasis of who the band is and promote the gig as The Clare Christmas Party
NT & SE to seek sponsorship specifically for this event, big thanks from the stage etc Action NT & SE
HJ to plan advertising campaign based on house to house leaflets, car windscreen flyers on a sale day and poster in shops. Also put ad in November Focus and DF to advertise on our Web Site. Newspaper ad being considered by HJ & PC Action HJ
ST has applied for the bar license, fee to be paid and hearing to attend

5 ST reported on his meeting with Suffolk County Council
Meeting with Ralph Barnett and Les Warmington was an eye opener ! Generally it had gone very well with a few problems still outstanding from 2004 discussed.
There was a difficult conversation about the pending action against CWMF by SCC over an alleged Breach of Contract regarding the Fee payment and the Damage Deposit.
SS took exception to the Chairman's response and left the meeting.
SVT confirmed that historical difficulties could be resolved with SCC subject to certain conditions being met.
SCC's fee of £1200 included the cost of the footpath closure, (£540) which was deducted from the Country Park's (ie John Law's) frugal budget. They, not unreasonably, expect something in return for our using the Park but had never received any "compensation" and were so disappointed that the whole matter of our use of the park was now in question.
ST informed SCC that we had not appreciated that a direct quid pro quo had been expected and assured SCC that the Footpath Fee would be paid on receipt of invoice and that the Country Park would now become a priority donation if we could develop a profit in 2005
SVT promised a new cooperation to harmonise the relationship
In return SCC agreed to allow CWMF to make a formal application for CWMF 2005 and they would reconsider the balance of the fee for 2004
6 2005 Festival
SW to check town hall availability on 16th & 23rd July as Horticultural Show and the Craft Fare had already fixed dates and bookings.
Implication of Fire Station redevelopment discussed at length. No timescale so no decisions could be made on this matter

8 Any Other Business

DF wanted to consider a budget festival to replenish our funds and go "back to our roots" He felt that a lower key band line up eg Trenchtown, Fuzz Face, Paul Cox, Worx FM, HW Honkies might prove a successful formula. Also if Robbie & Lincoln was involved then perhaps Steve Harley might be persuaded to attend.
NT suggested a lottery grant application but was referred to PC who had travelled that route in 2002 and could brief Nick
HJ had spoken to Nick Keeble about the idea of attaching the CWMF to the end of the Haverhill Arts Festival in the hope of gaining some financial support. He had received a positive reaction and would pursue the idea further, maybe a meeting with ST, HJ & NK ?
9 Next meeting Tuesday 9th November 2004 7.17 at the Bell - note this clashes with CBA meeting, so can SE or SW do that one instead and report back ?
